MINUTES FROM APRIL 1ST MEETING

 3.      President (Frank Plefka) Report
·        Meeting Dates: This meeting is primarily to review Opening Day plans.  Our next scheduled meeting after this will be held on Wednesday April 22nd at the VFW – 8:30 PM.  At the April 22nd meeting starts the mandatory representation of all teams at meetings (your team must be represented by a Manager/Coach/Guardian or you will receive a “loss” on your record which could affect who manages the Tournament and District teams.·        Opening Day: All teams meet at the Fire Company at 10:30 AM where the parade begins at 11:00 AM.  T-Balls start first then Ponies, Minors and Majors (Stay in order of draft and T-Ball Schedule). We will be marching to Whitebirch Field where you will be met by a League Official directing you onto the field by the outdoor batting cage.  A league official on the field will then direct you where to sit for the ceremonies.·        Attending: The Mayor, Councilmen/Councilwomen, Senator will all be guests along with John Koch who was a founding member of the League.  Mayor Rau-Hatton, Councilwoman Shelly Lovett and John Koch will throw out the first balls to our 12-year olds that have played in the league since T-Ball.·        12 Year Olds: The players that are 12-year old and have played through the league from T-Ball to Majors will all have a part in the ceremonies.·        Work Parties: Friday night we will have a work party to finalize anything that needs to be done.  There will be league officials at the field from Friday afternoon on if anyone can show up early.  Large majority of the work has been completed.  Catalina is done but Whitebirch and Fernwood need some touch up work.  Depending on the rain and what the weather does we may need a lot of help Friday.·        Turnout: Not real happy with the turnout for the work parties leading up to Opening Day – Thanks to everyone that has pitched in to help.  All Coordinators/Managers/Coaches in the league need to take responsibility for getting their fields ready for opening day – including any of the rain we may have to deal with.  The plan should be getting the fields dry for Saturday which means getting to the fields around 8:30.
 4.      Vice President (Harry Reilly) Report
·        Sponsorships: Reminder to put your Sponsors name on your team banner.
   5.      Secretary (Rich Rinaldi) Report
·        No Report
 6.      Treasurer (Joe Snyder) Report
·        Finances: Joe reported financial information through this meeting which included a balance of $15,787. This includes paying Sports Outlet $10,400.  Joe is also looking into a  new scoreboard which would include a Sponsorship by Coca-Cola – more information to follow.
 7.      Field Director (Steve Bentley) Report
·        Opening Day Fields:  Most of this has already been covered.  Thanks to all the usual volunteers that have showed up and helped the past couple weeks.  Friday is our last push to get everything ready for opening day so anyone that can give some time would be appreciated.·        Dumpsters: Steve was advised that we will not be getting dumpsters at the fields and need to empty the trash cans ourselves.  He worked out a deal where we will get a dumpster for Whitebirch and Fernwood is still pending. 
 8.      Safety Director (Bo Cerveny) Report
·        No Report
 9.      Umpire-In-Chief (Paul Merklein) Report
·        Umpire Scheduling: A reminder that you are responsible for the games that you are on the schedule for, including rainouts.  If you can’t do the game then you need to find a replacement.  Paul will pass around a contact list.
  10.   Player Agent (Mike O’Brien) Report
·        Raffle Tickets:  See Mike if anyone needs additional raffle tickets to sell.  All raffle tickets need to be turned in Opening Day at the ceremonies – there will be a bucket going around that tickets can be put in.
 11.   Equipment Manager (Rick Boutilier) Report
·        Uniforms:  As usual a small glitch with a couple of the uniforms.  There are some T-Ball uniforms that will not be done until Friday.  The T-Ball Manager can pick their uniforms up at Sports Outlet sometime Friday afternoon.  If anyone has any issues please contact Rick ASAP. ·        Socks/Pants: If you need to change the size of your socks or pants jus go around Sports Outlet and see them.  Same with Managers for the color of their team socks.
 12.   Division Coordinator Reports
·        No Reports
 13.   NEW BUSINESS
·        Whitebirch Outdoor Batting Cage:    Has been completed which included a general cleanup, hanging the net, laying the carpet and storing equipment.  It is ready for Opening Day.·        Pony Rules: A motion was brought to change the Pony Catcher position to be used as either an “infield” or “outfield” position was brought. This was approved by a vote of 20 YES to 3 NO.
 14.   MEETING ADJOURNMENT (Meeting was adjourned at 9:23 PM, next general meeting is April 22nd at the Glendora VFW – 8:30 PM.  Official attendance for team representation at meetings will start the 22nd.

·        Review Previous Meeting Minutes:  Included work parties, fundraising, schedules and Opening Day.·        Schedules: Schedules are all done, handed out and also posted online.·        Umpire Clinic: Umpire clinic was held on the 22nd by Tony Eller who will umpire in the Little League World Series this year.  For any new members or people that missed talk to Paul Merklein and we’ll setup an in-house clinic.·        District 14 Meeting: Nothing important discussed.  Got Major schedules. Next meeting not until 5/17.
 4.      Vice President (Harry Reilly) Report
·        Sponsorships: 20 Team Sponsorships are filled – will get together with Rick for team Sponsor Names.
 5.      Secretary (Rich Rinaldi) Report
·        General:  Distributed previous meeting minutes and voting eligibility information.·        Mail: Included field permit, Gardner $250 sponsorship, Glendora Fire Company $400 Sponsorship, bank statement through 3/4/09 with a balance of $25,512.65, Little League Statement with a balance of $225, Cook’s Florist invoice for $31, additional $120 in donations in memorandum of John Koch, and B&B Heating $250 Sponsorship, 2 Verizon bills for $29.25 & $28.80, and our Little League 2009 Charter (Given to Frank).
 6.      Treasurer (Joe Snyder) Report
·        Finances: Joe reported financial information through this meeting which included a balance of $24,671.51.
 7.      Field Director (Steve Bentley) Report
·        Work Party List: Steve has made up a list of what needs to still be done for Opening Day.·        Work Parties: There will be work parties Friday April 3rd Whitebirch, Fernwood & Catalina (anytime). ·        Lime & Diamond Dust:  Lime will be at all fields Friday and Diamond Dust will be located at the Catalina Field – See Steve before using the Diamond Dust which is very expensive. 
  8.      Safety Director (Bo Cerveny) Report
·        Ice Packs: There are ice packs at all fields (Catalina ice packs will be kept under the kitchen sink).
 9.      Umpire-In-Chief (Paul Merklein) Report

  10.   Player Agent (Mike O’Brien) Report
·        Registrations:   Concluded with 35 Majors, 55 minors, 81 T-Balls, 65 Ponies, 14 Juniors and 7 Seniors.  A grand total of 257 with 4 pending tryouts.
 11.   Equipment Manager (Rick Boutilier) Report
·        Team Equipment Bags: End of this week all teams will have Equipment Bags.  Junior bag is set and located at the 7th Avenue Field (Bruce will let Bob know). ·        Uniforms: 90% of uniforms from T-Ball through Majors are at Sports Outlet and should be ready shortly.  We will separate and distribute before the meeting April 1st at the VFW.  Junior and Senior uniforms need to be ordered.  Uniforms average $34.95 each.·        Additional Apparel:  We will have additional team shirts and hats along with Glendora Apparel available to purchase via our website through Sports Outlet.  Rick and Rich will get together for this.  100% of profits will benefit and go towards the GLL.·        Equipment:  We do have an $815 credit coming from Sports Outlet for tarps that were wrong.
 12.   Division Coordinator Reports
·        Ponies: There will be a rules review meeting after this meeting.
 13.   NEW BUSINESS
·        Work Parties: We need to have additional volunteers showing up and helping out for these work parties.  More kids in the league and a lot of new faces that need to pitch in and help.  We are looking for a big turnout Friday and Sat.·        Opening Day:  Saturday April 4th we will be marching to Whitebirch.  Be at the Fire Company at 10:30 AM.  Ceremonies start at Whitebirch Field at 11:30 AM and the first games are at 12:30.·        Catalina Field: Catalina Field will be used on Opening Day having two games.
    14.   MEETING ADJOURNMENT (Meeting was adjourned at 9:31 PM, next general meeting is April 1stth at the Glendora VFW – 8:30 PM followed by a meeting April 22nd at the Glendora VFW – 8:30 PM.

 Voting Eligibility: Currently there are 24 members eligible to vote.  There was only one meeting in September 08 and that was September 10th so it is not in the exact 6 Month time frame.
